Switching to TDOS

Switching software is a big decision. Here's exactly what it involves.

No surprises. No minimizing. Just an honest, step-by-step guide to what switching to TDOS looks like - from first conversation to first patient on the new system.

Typical Timeline

Week 1–2

Contract signed. Data import begins. TDO University access granted.

Week 3–4

Data import complete. Staff training begins by role.

Week 5–6

Go-live on TDOS. Support team on-call for first two weeks.

Week 7+

Practice running on TDOS. Ongoing TDO University access for new staff.

We Hear This a Lot

The concerns practices have before switching. And what's actually true.

THE CONCERN

We've been on our current software for 15 years. Our staff knows every corner of it. Switching means retraining everyone from scratch.

THE REALITY

TDO University provides role-specific training - separate tracks for doctors, front desk, and office managers. Most staff are proficient within two weeks. Practices that trained on TDO in residency are often productive on day one.

THE CONCERN

What happens to our existing patient data? 15 years of records can't just disappear.

THE REALITY

TDO's data import team handles the import of key patient data, demographics, and essential records from your current system. The process is managed, tested, and verified before go-live. Your data does not disappear. It comes with you.

THE CONCERN

What if something goes wrong on day one? We can't have the practice go dark while we figure out the software.

THE REALITY

TDO's support team is on-call for your first two weeks on the system - not just available, actively monitoring. Go-live is scheduled deliberately, not rushed. And TDO University training happens before go-live, not after.

The Switching Process

What switching to TDOS actually looks like.

Four phases. A dedicated team at each one. A go-live date you can plan around.

01
PHASE 1 - AGREEMENT

We get to know your practice.

Before any contract is signed, we have a detailed conversation about your current software, your team size, your locations, your imaging equipment, and your timeline. The goal is to make sure TDOS is the right fit, and to identify anything that needs special attention during the data import process.

Current software and data format assessment
Imaging equipment compatibility check (Carestream, XDR, J. Morita, Prexion)
Team size and role mapping for training tracks
Go-live date planning around your practice schedule
Pricing and contract review with Diane Griffiths, our contracts specialist
Week 1
02
PHASE 2 - DATA IMPORT

Your data comes with you.

TDO's data import team handles the import of key patient data, demographics, and essential records from your current system. The imported data is tested and verified before any training begins. You review the imported data and sign off before go-live.

Patient demographics and clinical history imported
Scheduling and appointment history transferred
Financial records and AR data imported
Imported data reviewed and verified by your team
Parallel system access maintained during import
Weeks 1–3
03
PHASE 3 - TRAINING

Your team trained before go-live. Not after.

TDO University provides structured, role-specific training for every member of your team - before the practice goes live on the new system. Doctors, front desk, and office managers each have their own training track. Training happens on-demand through TDO University plus live sessions with our implementation team.

Doctor track: clinical workflow, imaging integration, referral reporting, mobile access
Front desk track: scheduling, InfoGrabber, COMMS+, eClaims, daily operations
Office manager track: Snapshot reports, QuickBooks, AR tracking, user permissions, audit logs
Live Q&A sessions with implementation team
TDO University access continues permanently - for onboarding new staff at any time
Weeks 3–5
04
PHASE 4 - GO-LIVE & SUPPORT

Go-live with a team behind you.

When your practice goes live on TDOS, TDO's support team is actively available - not just reachable. The first two weeks on the system are treated as a monitored transition, not standard support. Issues are addressed immediately. Your team has direct access to people who know the software.

Dedicated support contact for first two weeks post go-live
Live chat, phone, and portal support available
TDO Knowledge Base for self-service questions
Ongoing TDO University access for your entire team
User Meeting (September 24–26, 2026) for deeper training and community connection
Week 5 onwards

Your Data

Your patient records do not start over. They come with you.

What transfers

Patient demographics and contact information
Medical history and health records
Clinical documentation and treatment records
Scheduling and appointment history
Financial records and accounts receivable
Insurance information and carrier data
Referral source records

What our team handles

Data extraction from your current system
Format mapping and import into TDOS structure
Data integrity testing before import
Your review and sign-off before go-live
Imaging data import planning (case by case, discuss with our team)

Data import scope varies by current system and data volume. Our team will assess your specific situation during the pre-contract conversation and provide a clear picture of what will and will not transfer before you sign anything.
